Adding Appointments

When adding appointments for your contacts you will find that there are two different ways to add appointments.

If you do not have an inquiry added you will need to add one by clicking Add Lead Inquiry.

You cannot add sales appointments without an inquiry added first.

Setting an Appointment starting at the contact record

When the inquiry is present, the Add Appointment button will show.

Select Add Appointment.

The Add/Edit Appointment screen will pop up.

If you already know the date/time of the appointment and who is going to be running that appointment, you can fill out the information.

**Tech Tip:  Make sure to fill out Appt Set By to give credit to the person setting the appointment**

When you save this, the appointment will show under the inquiry.

This will also show on the calendar

If you don’t know the date/time of the appointment and who is going to be running the appointment, you can select the calendar icon to go to the calendar.

You will then select which view to view in.  This is in the upper right of the calendar.

**Tech Tip:  The Work Week view can be modified through the admin under Company Setup by selecting the Calendar link.  It can be changed to show more than Mon – Fri.  It can show Mon – Sat and Mon – Sun based on your company’s work week.

 

 

 

 

 

 

Left click and hold, drag down to determine the length of the appointment.  Each highlighted block is 30 minutes.  Then right click to add event.

**Tech Tip:  When choosing a Salesperson 1 for the appointment, you will notice it puts their name in as a resource.

After you choose the Appt Type and Salesperson, save this appointment and the subject and description will auto fill.

Once on the calendar, you can select the link in the yellow bar up at the top to return to the contact record to see the appointment and return where you were.

Select Find Contact on the right side

Enter in as much information as needed to find the contact.

First and Last name is usually enough to locate the correct contact.

Select Find Contact

 

A list of names may pop up.  The names are listed as most likely to the contact to least likely.

Select the name you wish to set the appointment for.

The name selected will be the name listed in the upper right.

If you do not have an inquiry added you will need to add one by clicking New Inquiry.
